Back up your Tollgate data
Mode: how-to. Download a full copy of each project’s governance record and keep it where your normal backups reach.
Why this matters
Section titled “Why this matters”Atlassian’s site backups and exports cover Jira and Confluence content only. The platform excludes data that Marketplace apps hold, Tollgate included. That data does not travel with site clones or site-to-site migrations. Third-party Jira backup products don’t capture it either. The copy you download here is the copy you control.
Uninstalling Tollgate deletes the app’s data for the whole site immediately and permanently. Export first.
Take a backup
Section titled “Take a backup”- Open Apps → Tollgate Portfolio.
- Open the Settings menu and choose System backup & restore.
- Pick the scope — all projects (whole site) or a single project — and select Download backup.
You get one JSON backup file: every record Tollgate stores for the chosen scope, verbatim, with a checksum. A whole-site backup also carries the site-level settings (themes, access group, framework framing, cadences). Backup and restore live only in Portfolio settings. Individual project settings carry no backup controls.
For a readable XLSX workbook with a sheet per register, open project Settings, find Data — import & export, and use Export full record. For an events-only CSV, see Export the governance record. Those exports serve readers and records teams. The JSON system backup is the restorable copy.
Where to keep it
Section titled “Where to keep it”Store the backup file where your organisation’s normal backup regime reaches: your document management system, or the project’s linked Confluence space. Atlassian site backups and third-party backup tools do cover Confluence content.
When to take one
Section titled “When to take one”- On your governance reporting cadence — one backup per steerco cycle is enough for most teams.
- Before uninstalling the app, deleting a project, or migrating/merging Jira sites.
- Before and after major gate decisions, if your records policy calls for point-in-time evidence.
Restoring
Section titled “Restoring”- In the same System backup & restore dialog, choose the backup file.
- Pick the target — everything in the file, or one project it contains.
- Acknowledge the overwrite and select Restore.
Restore overwrites current Tollgate data for that scope with the backup’s contents. Tollgate never deletes the audit trail: restored projects keep their full history and gain a “restored from backup” entry.
Restore requires the same access as the portfolio: Jira admins, or the governance group if you set one. The register Import from CSV control still brings spreadsheet rows into a project. It appends rows and is not a restore.
