Export the dashboard to PDF

Mode: how-to. Download a PDF of the project’s dashboard to share with people who weren’t in the steering committee.

The PDF is a snapshot of the Dashboard as it reads when you export. It is built for reading on a laptop or iPad, and it prints cleanly. Every figure matches the dashboard, because both draw from the same record.

  1. Open the project and select the Tollgate tab.
  2. On the Dashboard, find the Project Performance header row.
  3. Select Export to PDF, at the right of that row.

Your browser downloads a file named <KEY>-status-report-<date>.pdf. For project MCC exported on 6 October 2026, that is MCC-status-report-2026-10-06.pdf.

There are no options to set. One click gives you one file.

The report is A4 landscape, in colour. It has two main pages, then an addendum of as many pages as your work packages and risks need.

  • Overall status and the project manager’s key message.
  • The project brief: objective, sponsor, budget and target date.
  • Project Performance: the Cost, Schedule and Scope cards. Each card shows the status, the headline figure, the project manager’s note, and the last four weeks of status.

Where the project manager’s status differs from the figure-based one, the card shows both: “Set by the PM” and “calculated”.

  • Earned value: the S-curve with plan, actual, earned value and the forecast line, plus SPI, CPI and the forecast at completion.
  • A project with no budget shows Schedule progress instead: planned against actual percent complete.
  • Risks: the heat map, current and after treatment, and the top risks by current score.
  • Any decision waiting and any change request pending.

Every work package, with ID, owner, status, percent complete, planned end, forecast end and slip, and budget against forecast.

Every open risk and opportunity, highest current score first. Each row shows the score (likelihood by impact), the residual score, the treatment and the status. Closed entries are not listed. The page says how many were left out.

Long tables continue onto the next page with the column headings repeated. A “Continued on page N” line marks the break. Long names are cut to one line with an ellipsis.

Every page carries:

  • “Exported from Tollgate” with a link to tollgatehq.com
  • the export time, in your time zone
  • “Page n of N”
  • a link back to the live project in Jira

The report is a record as at the export time. The link takes the reader to the current state.

Status always appears as a word and a symbol, never colour alone. “At risk”, “Off track” and “On track” each carry their own icon, so a black-and-white print reads the same as the screen.

Anyone who can view the project. The PDF shows what the Dashboard shows you, so a reader with narrower access gets a narrower report. It never prints an email address.

  • Standard mode projects only, for now.
  • A4 landscape only. There is no US Letter or portrait layout.
  • One click, no options. The PDF is a snapshot, not a deck builder: you cannot choose sections, edit the text or add slides.
